Connected accounts and permissions

Realbard does its work through accounts you already have — your Facebook Page, your Instagram, your Google account, your mailbox. This page lists every permission it asks for, by its real name, with why it is asked and what it is used for. Nothing is connected until you connect it, and each can be taken back at any time.

In short

  • You can sign up and use Realbard without connecting anything. Each connection is separate and asked for only when you want the feature it makes possible.
  • Every permission is used for a feature you can see in Realbard, and for nothing else — not for advertising of ours, and not to train AI models.
  • Realbard can send email from your Gmail or Microsoft address. It cannot read your mailbox.
  • Posts wait for your approval unless you tell Realbard otherwise, and an advert never starts spending without your yes.
  • Disconnecting stops Realbard’s access at once. Delete your data says how to remove what it already holds.

1.Google

Three separate things, each with its own consent screen. Sign-in is the only one most people use.

So you can create an account and sign in without a password. Realbard receives your name, email address and profile picture, and remembers which Google account is yours.

Reading anything else in your Google account. No access token is kept after sign-in.

Why, and what Realbard does with it
So the emails you write or approve in Realbard — a reply to an enquiry, new homes for a buyer — go out from your own address and your clients hear from you, not from a system.
What it is never used for
Reading, searching, changing or deleting your mail. Realbard has no permission to open your mailbox and does not ask for one.

Why, and what Realbard does with it
To list the Google Ads accounts you can use, create the campaigns you approve, and read their daily results (times shown, clicks, cost, enquiries) for your results page.
What it is never used for
Changing campaigns Realbard did not create for you. Spending without your approval.

Realbard’s use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements. The privacy policy sets out what that means in full.

To take it back: Settings → Connections in Realbard (Outreach → Sending from, for Gmail), or your Google account’s permissions.

2.Facebook and Instagram

An administrator of your workspace connects Facebook once, through Facebook’s own login, and chooses which Pages, Instagram accounts and advertising accounts Realbard may use. These are the permissions that connection asks for.

What it does with it
Reads which advertising accounts and Pages belong to your business. If you ask Realbard to run adverts from its own advertising account, shares your Page with it so the adverts carry your Page’s name.

What it does with it
When someone fills in the form on one of your adverts, receives what they entered and adds them to your clients, so they are answered. The second permission lets your Page notify Realbard that a form was filled in or a message arrived.

What it does with it
Shows comments on your Page’s and Instagram account’s posts and adverts in your inbox, and posts your replies. It can hide a comment when you ask it to.

What it is never used for: posting anything you have not approved or told Realbard to post on its own; reading your personal profile, your friends or your private messages; advertising of ours; training AI models. Adverts for homes are always created in Meta’s housing category, which does not allow an audience to be chosen by age, gender or postcode — Realbard does not offer those choices.

To take it back: Settings → Connections in Realbard, and Inbox → Channels for messages; or in Facebook, Settings → Business integrations → Realbard → Remove.

3.WhatsApp

Only if you connect a WhatsApp Business number to your inbox.

Realbard does not read your personal WhatsApp, your contacts, or any number you did not connect. To take it back: Inbox → Channels → WhatsApp → Turn off.

4.Microsoft (Outlook, Microsoft 365)

Why, and what Realbard does with it
So the emails you write or approve in Realbard go out from your own address. It reads your address and name to know which mailbox it is, and keeps the connection so you are not asked again each time.
What it is never used for
Reading, searching, changing or deleting your mail, calendar, contacts or files.

To take it back: Outreach → Sending from → Remove, or your Microsoft account’s app permissions.

5.What is kept, and how

  • Access tokens — the keys the platforms give Realbard when you connect — are stored encrypted (AES-256) and are deleted the moment you disconnect.
  • Identifiers of the Pages, accounts and mailbox you chose, so Realbard knows where to publish and send.
  • What came back: the results of what was published, the enquiries from your advert forms, and the messages in your inbox. These are part of your workspace and stay until you delete them or your account.
  • AI: to draft a reply, the recent messages of that conversation are sent to an AI model; to summarise your results, the figures are. Neither is used to train models. The privacy policy says which providers.

6.You decide what goes out

A permission lets Realbard act; your settings decide when it does.

  • Posts wait in “To approve” until you say yes. You can change that to “post and tell me” or “just post” in your marketing plan, and change it back.
  • Adverts are never published and never spend money without your approval.
  • First answers to new enquiries and messages are sent straight away, so nobody waits — as your agency’s assistant, from the listing’s facts. Turn this off under Clients → How I answer, and Inbox → Channels.
  • Replies to comments wait for you unless you choose otherwise.
